How to Organize Apple Photos with Folders & Albums

Here’s a simple guide to organizing your pictures so you can find them easily whenever you need.

First, think of using Albums. An album is like a playlist for your photos. When you add a picture to an album, it isn’t creating a new copy. Instead, it just adds the picture’s name to a list that shows up whenever you open that album. You can put the same photo into multiple albums, such as one for “Family,” another for “Vacations,” and another for “Special Events.” Even though a picture appears in several albums, it only takes up space once in your storage. Removing a picture from an album won’t delete it from your library—it only removes it from that specific album.

Now, don’t limit yourself to just a few albums. You can create as many as you want! To keep things organized, you can group your albums into Folders. Folders are like folders in your desk—they can hold multiple albums and even other folders. For example, you might have a folder for “Childhood,” and inside that, separate folders for each decade or year. Within those, you can have albums for events, like “School Play” or “Family Trips.”

Want even more organization? Use folders to categorize your albums by topics or seasons. For instance, you could have a “Vacations” folder with subfolders for “Beach Trips” and “Winter Holidays.” This system helps you access specific photos quickly, even if you have thousands. If you’re someone who takes lots of pictures of different things, this method keeps everything neat and easy to find.

You might also want to try Smart Albums on your computer. These are special albums that update automatically based on keywords, dates, or captions you add to your pictures. For example, you can label all your horse show photos with the keyword “HorseShow.” Then, a Smart Album can gather all those photos together for you, updating as you add more. Keep in mind, these Smart Albums usually don’t show up on your phone or tablet, so it’s good to copy key photos into regular albums too.

Keywords and filters are quick ways to find pictures without creating separate albums. For instance, you can filter your library to show only your favorite photos or those tagged with “HorseShow.” It’s a fast way to narrow down your selection when you’re looking for something specific.

Lastly, use the Favorites feature. Mark your best or most-loved photos as favorites. These will be easy to find and can also be included in Smart Albums for quick access. For example, if you have a favorite photo from a recent horse show, you can mark it as a favorite, and then using filters, find it instantly no matter where it’s stored.

The key is to use a combination of these methods—albums, folders, keywords, Smart Albums, and favorites—to make sure you can find any picture when you need it, even if you don’t remember the date or location. Think of it like a library where a book might be listed in multiple catalogs, making it easier to locate no matter where you start looking. This way, organizing your photos becomes simple and effective for your everyday life.
